We are the "controller" of your personal information. If you have any questions about this policy or how we use your information, email us at hello@wearedoon.com.
What information we collect
We only collect what we need to respond to you and run our business:
- Contact details: your name, email address, phone number and postcode or address.
- Enquiry details: what you're interested in (for example a sauna model or cabin), your timescale, information about your site, and anything else you choose to tell us.
- Business details: if you contact us about a commercial project, the name and type of your business.
- Order and project information: if you buy from us, details needed to quote, build, deliver and install your sauna or cabin, and to take payment.
- Website and advertising data: information about how you use our website and interact with our adverts, collected through cookies and similar technologies (see "Cookies" below).
How we collect it
- When you fill in an enquiry or quote form on our website.
- When you fill in a lead form in one of our adverts on Instagram or Facebook. Meta passes the details you submit to us.
- When you email, phone or message us.
- Through cookies on our website, if you agree to them.
How we use your information, and our legal basis
- Responding to your enquiry, sending pricing and arranging calls or visits. Legal basis: legitimate interests (responding to people who contact us), or steps taken at your request before entering into a contract.
- Quoting for, building, delivering and installing your order. Legal basis: contract.
- Keeping financial and tax records. Legal basis: legal obligation.
- Sending you news and offers by email. Legal basis: consent, which you can withdraw at any time.
- Measuring and improving our website and adverts. Legal basis: consent (for non-essential cookies).
We will never sell your personal information.
Who we share it with
We share your information only where needed, with:
- Service providers who help us run our business, such as our website host (Squarespace), email and office software providers, and our accountants.
- Meta Platforms (Instagram and Facebook), when you submit a lead form in one of our adverts, or when you agree to advertising cookies on our website.
- Partners and contractors involved in delivering your project, such as our timber manufacturing partners, hauliers and installers, but only the details they need to do their job.
- Authorities, if we are required to by law.
Some of these providers are based outside the UK, for example in the United States or the European Union. Where your information is transferred outside the UK, we make sure appropriate safeguards are in place, such as the UK's adequacy regulations or the International Data Transfer Agreement.
How long we keep it
- Enquiries that don't lead to an order: up to 2 years after we last heard from you, so we can pick up the conversation if you come back to us.
- Customer and order records: 6 years after the end of the financial year in which the project was completed, to meet tax and legal requirements.
- Email marketing: until you unsubscribe.
Cookies
Our website uses cookies that are needed for it to work. With your permission, we also use analytics and advertising cookies, including the Meta Pixel, to understand how visitors use the site and to show relevant adverts to people who have visited it. These only run if you accept them in our cookie banner, and you can change your choice at any time.
